Job Summary
HR Talent Solutions is seeking a highly organized, proactive, and detail-oriented Executive Virtual Assistant to provide strategic and administrative support to senior leadership teams operating across Australian business hours (AEST). This role is ideal for a professional who thrives in a fast-paced virtual environment, possesses exceptional communication skills, and can manage multiple priorities with discretion and efficiency.
As an Executive Virtual Assistant, you will act as a trusted business partner, ensuring seamless day-to-day operations by managing executive calendars, coordinating meetings, handling confidential communications, organizing reports, and supporting key business initiatives. You will work closely with executives, clients, and internal teams to maintain operational excellence.
Key Responsibilities

Manage executive calendars, appointments, and scheduling across multiple time zones.

Coordinate virtual meetings, prepare agendas, record minutes, and follow up on action items.

Screen emails, prioritize correspondence, and draft professional responses on behalf of executives.

Prepare presentations, reports, spreadsheets, and internal business documents.

Handle confidential business information with professionalism and discretion.

Coordinate travel arrangements, accommodations, and itinerary planning when required.

Assist in project coordination, task tracking, and deadline management.

Conduct online research, market analysis, and competitor intelligence gathering.

Liaise with clients, vendors, stakeholders, and internal departments.

Support business development initiatives and administrative workflows.
Required Skills and Qualifications

Bachelor’s degree in Business Administration, Management, Communications, or a related field preferred.

Proven experience as an Executive Assistant, Virtual Assistant, Administrative Coordinator, or similar role.

Strong proficiency in Microsoft Office, Google Workspace, and virtual collaboration tools.

Experience with project management platforms such as Asana, Trello, or ClickUp.

Excellent written and verbal English communication skills.

Exceptional organizational and multitasking abilities.

Ability to work independently with minimal supervision.

High level of integrity, confidentiality, and professionalism.
Experience

Minimum 3–5 years of experience supporting C-level executives, senior managers, or business owners.

Experience working in remote or distributed teams is highly preferred.

Previous exposure to Australian clients, business culture, or international business operations is advantageous.
Working Hours
This position follows Australian Eastern Standard Time (AEST).
Typical Schedule:
