Job Description

Job Summary

HopeLine Org is seeking a highly organized and dedicated NGO Administration Officer to support the smooth daily operations of the organization. The ideal candidate will play a critical role in administrative coordination, office management, documentation, communication, and operational support for various humanitarian and community development programs. This position requires a proactive professional with excellent organizational abilities, strong communication skills, and a passion for social impact.

The NGO Administration Officer will work closely with management, project teams, donors, volunteers, and external stakeholders to ensure administrative efficiency and compliance with organizational policies and procedures.


Key Responsibilities

  • Manage day-to-day administrative operations of the organization.
  • Maintain office records, files, databases, and confidential documents accurately.
  • Coordinate meetings, appointments, workshops, and organizational events.
  • Prepare reports, presentations, official correspondence, and internal documentation.
  • Assist in budget tracking, procurement processes, and inventory management.
  • Support HR-related tasks including onboarding, attendance records, and staff coordination.
  • Ensure compliance with organizational policies, donor requirements, and legal regulations.
  • Coordinate communication between departments, volunteers, partners, and stakeholders.
  • Monitor office supplies and maintain a well-organized working environment.
  • Assist project teams with administrative and operational support during field activities.
  • Handle incoming calls, emails, and inquiries professionally and efficiently.
  • Support senior management in strategic and operational tasks when required.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Public Administration, Social Work, Management, or a related field.
  • Strong administrative and organizational abilities.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Ability to multitask and manage priorities effectively.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively within a team environment.
  • Professional attitude with high ethical standards and integrity.
  • Knowledge of NGO operations and community development initiatives is preferred.

Experience

  • Minimum 1–3 years of experience in administration, office management, NGO operations, or a related field.
  • Previous experience working in nonprofit organizations, charities, or humanitarian sectors will be considered an advantage.
  • Experience handling documentation, scheduling, reporting, and stakeholder coordination is preferred.

Working Hours

  • Full-time position.
  • Monday to Friday with occasional weekend support during events or community programs.
  • Flexible working arrangements may be available depending on organizational needs.
