Job Description

Job Summary

OceanGlide Cruises is seeking a highly organized and detail-oriented Travel and Visa Support Agent to join our Cruise Crew Processing Centre. This role is essential in ensuring that all crew members complete travel documentation, visa processing, immigration compliance, and deployment arrangements smoothly and efficiently.

The successful candidate will work closely with recruitment teams, embassies, travel agencies, crew managers, and internal operations departments to coordinate international travel logistics for seafarers and hospitality crew members. This position requires excellent administrative capabilities, communication skills, and the ability to handle confidential information with professionalism.


Key Responsibilities

  • Coordinate visa application processes for international cruise ship crew members.
  • Prepare, verify, and process required travel documentation including passports, visas, work permits, contracts, and medical certificates.
  • Liaise with embassies, consulates, immigration authorities, and travel partners regarding application status and document requirements.
  • Arrange international flights, hotel accommodations, airport transfers, and transit logistics for deploying crew members.
  • Maintain accurate crew records in internal databases and ensure documentation compliance.
  • Provide guidance and support to crew members regarding visa regulations, travel policies, and onboarding procedures.
  • Track expiration dates of travel documents and proactively coordinate renewals.
  • Handle urgent travel changes, cancellations, and last-minute deployment adjustments.
  • Support onboarding teams with pre-joining documentation checks.
  • Ensure all travel and immigration processes comply with international maritime regulations.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Travel Management, Human Resources, Hospitality Management, or related field.
  • Strong understanding of visa documentation and international travel procedures.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills in English.
  • Proficiency in Microsoft Office applications and digital record management systems.
  • Ability to work under pressure and manage multiple deadlines.
  • Strong problem-solving and coordination abilities.
  • High attention to detail and confidentiality awareness.

Experience

  • 1–3 years of experience in travel coordination, visa processing, immigration support, crew administration, HR operations, or related administrative roles.
  • Previous experience in cruise, hospitality, aviation, maritime, or international recruitment industries will be considered an advantage.
  • Fresh graduates with strong administrative capabilities may also be considered for junior-level opportunities.

Working Hours

  • Full-time position.
  • 8–10 hours per day depending on operational requirements.
  • 5–6 working days per week.
  • Flexibility to support global time zones and urgent travel requirements when necessary.

  • Knowledge of international visa regulations and immigration compliance.
  • Understanding of travel booking systems and document management procedures.
  • Ability to communicate effectively with multicultural teams.
