Job Description

Job Summary

InfoTech Solutions is seeking a highly organized and proactive Virtual Executive Assistant to provide dedicated support to the Chief Executive Officer. This remote role requires exceptional coordination, communication, and administrative expertise to ensure seamless executive operations across multiple time zones. The ideal candidate will act as a trusted right hand to the CEO, managing schedules, communications, priorities, and strategic tasks with precision and confidentiality.


Key Responsibilities

  • Manage the CEO’s calendar, meetings, appointments, and travel arrangements efficiently
  • Handle email correspondence, prioritize communications, and draft professional responses
  • Prepare reports, presentations, meeting agendas, and executive summaries
  • Coordinate with internal teams and external stakeholders on behalf of the CEO
  • Track action items, deadlines, and follow-ups to ensure timely execution
  • Conduct research and compile data to support strategic decision-making
  • Organize virtual meetings, including scheduling, minutes, and follow-ups
  • Maintain confidentiality of sensitive business and executive information
  • Assist in managing personal tasks when required to optimize executive productivity

Required Skills and Qualifications

  • Proven experience as an Executive Assistant, Virtual Assistant, or similar role
  • Excellent verbal and written communication skills in English
  • Strong organizational and time-management abilities
  • Proficiency in MS Office, Google Workspace, and virtual collaboration tools (Zoom, Slack, etc.)
  • Ability to multitask and prioritize in a fast-paced environment
  • High level of professionalism, discretion, and integrity
  • Strong problem-solving skills and attention to detail
  • Self-motivated with the ability to work independently in a remote setup

Experience

  • Minimum 2–5 years of experience in executive support or administrative roles
  • Prior experience supporting C-level executives is highly preferred

Working Hours

  • Full-time remote position
  • Flexible working hours aligned with CEO schedule and business needs
  • May require availability across multiple time zones occasionally
